A missed call auto reply on WhatsApp sends the patient a message within seconds of an unanswered call, so the enquiry continues in chat instead of dying in your call log. For clinics, it turns "nobody picked up" into "you're booked for 5 pm", even when the front desk is busy, at lunch, or closed for the night.

Every clinic misses calls. The receptionist is checking a patient in, the doctor's phone is on silent during a procedure, or it is 8:30 pm and everyone has gone home. The patient does not leave a voicemail. They call the next clinic on Google.

This guide explains how a missed call auto reply on WhatsApp works, what it can and cannot catch, what to say in the message, and how to set one up for an Indian clinic without changing your phone number.

Why missed calls cost clinics more than they think

A missed call leaves almost nothing behind. You see a number in the log, but not what the person wanted. Was it a new patient with a toothache, or a supplier? Without knowing, most clinics call back the next morning, if at all.

By then the patient has usually booked elsewhere. A call back the next day is a record of a loss, not a recovery.

Three things make this worse for clinics in particular:

  1. Health problems feel urgent. Someone in pain wants an answer now, not tomorrow.
  2. Patients compare. They call two or three clinics. The first one that responds properly usually wins.
  3. The most valuable enquiries come after hours. People research implants, aligners and hair treatments in the evening, exactly when your desk is closed.

How a missed call auto reply on WhatsApp works for clinics

The idea is simple. When a call to your clinic goes unanswered, the patient automatically receives a WhatsApp message from your clinic's number. They reply in the chat, and the conversation carries on from there, with a person or with an AI receptionist.

From missed call to booked appointment Patient calls nobody picks up WhatsApp sent within seconds Patient replies says what they need Booked real slot, confirmed The patient never has to call again. The enquiry stays alive in a chat they already use every day.
The whole recovery happens on WhatsApp, on your clinic's own number.

Here is what that looks like for a patient who called at 8:40 pm:

Clinic (8:40 pm): Hello, sorry we missed your call to Smile Dental. How can we help? You can reply here to book an appointment.

Patient: Haan, daant mein dard hai. Kal subah ka time milega?

Simran: Bilkul. Kal Dr. Mehta 10:30 AM aur 12:00 PM free hain. Kaunsa time theek rahega?

Patient: 10:30

Simran: Done! Kal 10:30 AM, Dr. Mehta ke saath aapka appointment book ho gaya hai. Ek din pehle reminder bhej dungi.

The clinic was closed. Nobody on the team typed a word. The patient who would have called a competitor at 8:41 pm is now booked.

Which calls can be caught, and which cannot

This is the part most providers skip, so here it is plainly.

WhatsApp calls to your clinic's WhatsApp number can be caught. More patients now tap the call button inside WhatsApp instead of dialling. Meta's WhatsApp Business Calling API lets software know when such a call comes in and goes unanswered, so the follow up message can be sent automatically. This is what Lead Rescue does.

Ordinary phone calls to your landline or mobile are a different system. Those travel over the phone network, not WhatsApp, so a WhatsApp tool cannot see them by itself. To catch those as well you would need a call tracking or IVR service from a telephony provider.

What most clinics do in practice:

  • Make the WhatsApp number the main contact on Google, Justdial, Practo and your website, with a "Chat on WhatsApp" button.
  • Put a short line on the IVR or voicemail of the landline: "For the fastest reply, message us on WhatsApp at this number."
  • Let WhatsApp handle the after hours flow, where the losses are highest.

What to say in the auto reply message

The first message decides whether the patient replies. A few rules that work:

  1. Apologise once, briefly. "Sorry we missed your call" is enough. No long excuses.
  2. Name the clinic. The patient may have called three clinics. Remind them who you are.
  3. Ask an open question. "How can we help?" gets more replies than a menu of options.
  4. Make booking the obvious next step. "You can reply here to book" tells them the chat is not a dead end.
  5. Keep it short. Two or three lines on a phone screen, no more.

Avoid marketing in this message. A discount offer in reply to someone calling about pain reads as tone deaf, and promotional templates also cost more under Meta's pricing.

Good examples you can adapt:

  • "Hello, sorry we missed your call to Smile Dental. How can we help? Reply here and we'll book you in."
  • "Namaste, aapki call miss ho gayi. Bataiye, hum aapki kya madad kar sakte hain? Yahin reply karke appointment book kar sakte hain."

Auto reply alone vs auto reply plus an AI receptionist

A plain auto reply is better than nothing, but it only does half the job. It starts the conversation. Someone still has to finish it.

If that someone is your receptionist the next morning, you have moved the problem rather than solved it. The patient replied at 8:45 pm, waited, and booked elsewhere.

With an AI receptionist behind the auto reply, the reply is answered too:

  • It understands what the patient wrote, in English, Hindi or Hinglish.
  • It answers questions about treatments, fees and timings from your clinic's own information.
  • It checks your doctors' real availability and books a slot that actually exists.
  • It sends a reminder before the visit, so the recovered patient also turns up.
  • It hands over to your team for anything that needs a person, and it never gives medical advice.

That is the difference between a message that says "we missed you" and a system that turns the miss into a booking. See how the rest of the receptionist works in our guide to the WhatsApp AI receptionist for clinics.

How to set it up for your clinic

With Lead Rescue the setup is part of the normal guided signup:

  1. Start the free trial and add your doctors, hours, treatments and fees.
  2. Connect your clinic's WhatsApp Business number to the WhatsApp Business Platform during signup. You keep ownership of the number and your Meta account.
  3. Missed call follow up switches on for WhatsApp calls to that number. The message uses a template approved by Meta.
  4. Test it. Ask a friend to WhatsApp call your clinic number and let it ring out. The message should arrive within seconds.
  5. Watch the Missed calls screen in your dashboard. Every missed call, the follow up, and whether it became a booking is listed in one place.

Mistakes clinics make with missed calls

Even clinics that care about follow up lose patients in the same few ways.

Calling back from a different number. The receptionist calls back from a personal mobile. The patient sees an unknown number and ignores it, or blocks it as spam. A WhatsApp message from the clinic's own verified number is far more likely to be read.

Waiting until the morning list. Many clinics keep a notebook of missed calls and work through it after the first patients are seen. By 11 am the evening callers have already booked somewhere else.

Sending a long menu. "Press 1 for appointments, 2 for fees, 3 for location" works on an IVR, not in a chat. Patients want to type their problem in their own words.

No owner for the replies. An auto reply that nobody answers is worse than no message at all. It tells the patient you are listening, then goes quiet. If there is no AI receptionist behind it, someone must own that inbox every evening.

Not tracking the result. If you do not count missed calls and the bookings they produce, you cannot tell whether the change is working or what it is worth to the clinic.

How to measure whether it is working

Track three numbers every week:

  • Missed calls: how many calls went unanswered.
  • Replies: how many patients answered the follow up message.
  • Bookings from missed calls: how many of those conversations ended in an appointment.

If replies are low, change the wording of the first message. If replies are high but bookings are low, look at what patients are asking that the system cannot answer, and add that information to your clinic setup.

The bottom line

A missed call is a patient who already chose you and could not get through. A missed call auto reply on WhatsApp gives that patient a way to continue right away, and an AI receptionist makes sure the conversation ends in a booking rather than another wait.

If your clinic misses even a handful of calls a week, this is one of the cheapest ways to win those patients back. Pair it with appointment reminders and the patients you recover also show up. Dental practices can see the full setup on our page for dental clinics, and the missed calls overview shows what the clinic dashboard looks like.

Frequently asked questions

What is a missed call auto reply on WhatsApp?

It is an automatic WhatsApp message sent to a patient within seconds of an unanswered call to your clinic. The patient can reply in the chat to say what they need and book an appointment, so the enquiry is not lost.

Does it work for calls to my clinic's landline or normal mobile number?

Not on its own. Lead Rescue catches WhatsApp calls made to your clinic's connected WhatsApp number. Ordinary phone calls travel over the phone network, so catching those needs a call tracking or IVR service. Most clinics promote their WhatsApp number as the main contact instead.

How much does a missed call auto reply cost?

The follow up is a WhatsApp template message, which Meta charges per message at its India rates, billed to your own Meta account. Lead Rescue itself adds no per message charge.

Will patients find an automatic message annoying?

Rarely, if it is short and useful. A brief apology, the clinic name and an open question like How can we help? reads as good service. Avoid offers and marketing in this message.

Can the AI book the appointment after the patient replies?

Yes. Simran reads the reply in English, Hindi or Hinglish, checks your doctors' real availability, books the slot and sends a reminder. Anything that needs a person, or any medical question, goes to your team.
